How to improve your business credit profile before you need it

The ideal time to fix your credit profile is the year before you need a loan. The next one is now, because none of it works overnight.

Most owners think about their credit profile for the first time when a loan is already needed. By then the profile is what it is. Nothing you do in the week before an application changes what the last two years recorded.

The good news is that what improves a profile is mostly ordinary operating habit, not financial engineering. The bad news is that it takes quarters to show.

Two records, read together

Your business has a commercial credit record. You, as the promoter, have a personal one. Lenders read both. For smaller businesses the promoter's record often carries more weight than owners expect, because at that size the owner and the business are hard to separate.

Both records are held by credit bureaus, known in law as credit information companies. TransUnion CIBIL is the most widely known. Lenders now pull these reports automatically in digital lending: the government's credit assessment model for public sector banks fetches commercial and consumer bureau reports through software links.

The business record and its rank. TransUnion CIBIL gives businesses a CIBIL MSME Rank, or CMR, on a scale of 1 to 10. CMR-1 is the least risky and CMR-10 the most risky. It estimates the chance the business becomes a non-performing asset (a loan in serious default) in the next 12 months. In FY2023-24, 47% of the businesses that checked their own record held a rank between 1 and 3, according to TransUnion CIBIL. The CIBIL MSME Rank guide covers how it is worked out.

The promoter's record and score. The personal CIBIL score runs from 300 to 900. TransUnion CIBIL groups it into tiers: subprime from 300 to 680, near prime from 681 to 730, prime from 731 to 770, prime plus from 771 to 790, and super prime from 791 to 900. The CIBIL score for a business loan guide explains how lenders use it.

So a clean business with a promoter carrying an overdue credit card is a weaker file than the business's own numbers suggest. If you are a director of other companies, their conduct can be visible too.

Why it changes the price, not just the answer

The profile affects more than whether you get a loan. It can set the rate. Bank of Baroda, for example, publishes that for loans to micro and small enterprises above ₹25,00,000 and up to ₹7,50,00,000, its interest spread depends on the business's CMR and on how much security is offered. A better rank can mean a smaller spread on the same loan.

Check both records first

Check both records before anyone else does. Errors happen. A closed loan can still show as live, or a settled account can be reported wrongly.

Your personal report is free once a year. Since 01-Jan-2017, RBI has required every credit information company to give individuals one free full credit report, including the score, once in each calendar year, on request. Each bureau offers its own, so you can check more than one.

The business report is a paid product. TransUnion CIBIL sells a Company Credit Report with the CMR on cibil.com. Plans and prices change, so check the site.

Corrections have a deadline. Under an RBI framework in force since 2024, a complaint about wrong credit information must be resolved within 30 calendar days of filing it with the lender or the bureau. The lender has 21 of those days to send corrected data to the bureau. If the complaint is not resolved in 30 days, you are entitled to compensation of ₹100 for each day of delay. If your complaint is rejected, you must be told why.

Thirty days is still longer than a lender will wait on a live application. That is why checking early matters.

What helps the most

Pay everything on the due date, including the small things. Repayment history is a major input to bureau scores. A modest facility repaid perfectly for two years can help more than a large one repaid erratically. There is no credit for paying late but eventually. On a term loan, an instalment overdue for more than 90 days makes the account a non-performing asset, a mark that is hard to recover from.

Keep utilisation moderate. A credit line permanently drawn to its limit reads as a business with no headroom, even when payments are current. Running at a fraction of the limit reads as control. Overdraft or cash credit explains how lenders watch this at renewal.

Keep old, clean facilities open. Closing an old, well-run account removes the history that was working for you. Length of record has value.

Keep business and personal money separate. Turnover routed through a personal account is turnover the business cannot easily show. This one costs nothing to fix and quietly weakens many files.

File on time, every period. GST and income tax filings are records lenders cross-check, and public sector banks' digital model reads GST, income tax returns and bank statements alongside bureau data. Gaps and late filings read as disorganisation. Why GST, ITR and bank statements must agree covers the cross-check.

What quietly damages it

Applying repeatedly. A formal application usually leads the lender to pull your report, which records an enquiry. A cluster of enquiries in a short window can signal a business shopping desperately. Each rejection can make the next lender more cautious. How to check your business loan chances before you apply explains how to check where you stand first.

Settling rather than repaying. A settlement closes the immediate problem but usually shows on your report as settled, not as a loan repaid in full. Lenders read that differently. Where repaying in full is possible, even slowly, it is usually the better long-term choice.

Cheque returns. They show in your bank statements whatever the reason. A single one can be explained. A pattern is much harder.

Undisclosed borrowing. This is a credibility problem more than a scoring one. Debt you did not mention that surfaces during assessment can lose you a lender's trust quickly.

Penal charges you could avoid. Since 01-Jan-2024, a penalty for breaking a loan term must be a penal charge, not penal interest. It still costs money and still signals a missed obligation. Read your covenants and meet them.

If a lender says no

Ask for the reason. RBI requires banks to tell micro, small and medium enterprise borrowers in writing the main reasons a loan application was rejected. That letter is the most direct guide to what to fix. Business loan rejection reasons lists the common ones.

A realistic timeline

If you expect to borrow in twelve months, start now. Clean up filings this quarter, correct any reporting errors, bring utilisation down, and pay every obligation on time from here on.

If you expect to borrow in three months, the profile is largely set. Use the time differently. Gather documents, reconcile your GST, income tax and bank records so they agree, and prepare explanations for anything unusual. You cannot change the history, but you can stop a decent history from being misread.

If you need to borrow next week, apply once, to a lender whose criteria you have actually checked. The worst outcome is four applications and four enquiries, leaving you with no loan and a weaker profile than you started with. NBFC or bank helps you pick the lender your file fits, and how much can my business actually borrow? helps you size the ask.

The profile is not a score to be gamed. It is a record of how you have run the business, which is exactly what a lender is trying to find out.

Capnix is not a lender. Its free Capnix score rates your business from 0 to 100. That is separate from your CIBIL score, and it shows what to fix first.
